Your Booking Desk

When somebody books with your organisation, the booking does not land on one person. It lands on the desk: you, and anybody whose role lets them act on bookings.

Who is on it

Everybody holding an ability to act on bookings, which today means Admins and Booking Managers, plus you as owner. They are all notified when a booking arrives, and any of them can pick it up.

Booking Manager exists so a front desk can work without escalating everything. It covers the full lifecycle of the bookings that settle to the organisation, refunds included, and every refund records who issued it.

What the desk can do

  • Accept or reject a new service booking
  • Allocate it to one of your employed coaches
  • Handle the conversation with the customer
  • Issue refunds against your organisation's cancellation policy
  • Manage event registrations and attendance

Bookings are scoped to the business that sold them

Your desk shows the bookings for this organisation's listings, and the same is true everywhere the count appears: the tab, the list and the badge in the sidebar all agree.

This matters for anybody wearing two hats. If you run your own company and also coach for a club, acting for the club shows you the club's work, and acting for your own company shows you your own sales. You will not be handed one while looking at the other.

Listings owned personally by the organisation's owner count as the organisation's. For the great majority of businesses, where one person owns the organisation and publishes everything under it, this is simply the answer you would expect.

What an employed coach sees

A coach you employ sees your services desk, narrowed to the work you have allocated to them. They do not see your whole book of business, and they do not get the events desk at all.

That's not an oversight. The organiser's event screen carries cancellation controls and a CSV export of every booker's email address, and that belongs to whoever runs the event rather than to everybody delivering it. A coach reaches the event they are rostered on through their calendar instead.

Cancellation and refunds

Refunds follow the cancellation policy on your organisation, including any tier cutoffs you've set. Set those up under Selling & payments > Policies before you start taking bookings, so your desk is applying terms your customers agreed to rather than deciding case by case.
