Inviting Representatives

A representative is somebody who helps run your organisation: a secretary, an administrator, a marketing lead, a front desk. They cost you nothing, however many you have. Only coaches take a funded seat.

Sending an invitation

  1. Go to {Your organisation} Profile > Members
  2. Click Invite representatives
  3. Add one email address per person. You can invite several at once
  4. Choose the roles they should hold
  5. Add a note if you want to say why you are inviting them
  6. Send

They get an email with a link. If they already have a Pitch Gurus account they accept and it's done. If they do not, the link walks them through creating one first, and the invitation is applied when they finish.

Pending invitations sit on the Invited tab, where you can resend one that was missed or withdraw one sent in error.

Choosing roles

Pick the narrowest role that lets somebody do their job. You can always add more later, and changing a role takes effect immediately.

If you select Admin, the other roles are shown as already included, because Admin holds everything they do. There is no need to tick them as well.

See Members & Roles for what each one covers.

What they see

A representative sees your organisation's screens, limited to what their roles allow, and they can switch between your organisation and anything else they belong to. They do not see your personal profile, your own bookings, or your card details.

Somebody whose only connection to Pitch Gurus is helping you run the page does not need a profile of their own, and will not be asked to build one.

Inviting someone who already coaches

Invite them as normal. An existing coach keeps their coaching profile exactly as it is and simply gains access to your organisation on top. A club's natural administrator is often somebody already coaching there, so this is the expected case rather than an edge one.

Note that giving a coach an administrative role does not employ them. If you also want to fund their plan and allocate them work, that is the Coach role and it takes a seat. See Inviting Coaches to a Seat.

If an invitation is not accepted

Nothing happens and nothing is charged. Invitations that are declined, withdrawn or left to expire cost you nothing and leave no access behind. You can see what became of each one on the Invited tab.
