Changing & Removing Members
Everything here lives on {Your organisation} Profile > Members, and all of it takes effect immediately.
Changing what somebody can do
Open the member and change their roles. The change applies at once: access they have gained is available on their next page, and access they have lost is gone from it.
They are emailed when their roles change, so nobody finds a screen missing without knowing why.
Suspending access
Suspending keeps the member on your list but stops them acting for you. It is the right tool for a temporary situation you expect to reverse: somebody on leave, or an account you want to pause while you check something.
- Their access stops immediately
- Their roles and their place in your organisation are kept
- Restoring them puts everything back as it was
- If they are an employed coach, their seat stops being billed while they are suspended
Suspension is deliberately quiet. We do not email somebody to tell them they have been suspended, on the grounds that it is usually an administrative state rather than a decision about them. If it's a decision about them, tell them yourself.
Removing somebody
Removing ends the relationship. Their access goes immediately and they are emailed to tell them so. That email is always sent, even to somebody who has turned account emails off, because losing access without explanation is worse than an unwanted email.
For an employed coach, removal starts a 14-day countdown and hands back the work they were carrying. That is covered properly in When a Coach Leaves.
Removing somebody does not delete anything they did. Posts they published, bookings they handled and refunds they issued all stay on the record, with their name still against them.
Re-adding somebody later
Invite them again. A removed member can come back, and doing so reuses their original place in your organisation rather than creating a duplicate.
The last Admin
You cannot remove or demote the last Admin of an organisation that has none left afterwards. The controls are shown with the reason rather than hidden, so it is clear why they will not work.
Because you, as owner, are always an Admin, an organisation you own can never be orphaned. Organisations with no owner, which are generally ones we have listed rather than ones somebody signed up for, are protected by this rule more strictly.
Changing the primary contact
Promote any active Admin to primary contact from their row. The previous holder keeps everything else about their access. If the primary contact is removed or demoted the role moves on its own, so you never have to remember to reassign it first.
