Managing Service Bookings
When clients book your services through Pitch Gurus, you'll receive booking requests that need to be reviewed and managed. This guide covers the complete booking lifecycle from request to delivery.
Viewing Booking Requests
Go to Profile > Bookings > Customer Bookings > Services to see all incoming service booking requests. Each booking shows the client name, service booked, status, and date.
Booking States
Service bookings progress through several states:
- Pending Review: A new booking request waiting for your response
- Accepted: You've accepted the booking and it's confirmed
- Scheduled: A date and time have been set for the service delivery
- In Progress: The service is currently being delivered
- Completed: The service has been delivered
- Rejected: You've declined the booking request
- Cancelled: The booking has been cancelled by either party
- Disputed: A dispute has been raised about the booking
- Refunded: The booking has been refunded
Accepting or Rejecting Requests
When a new booking request arrives:
- Review the client's requirements and any messages they've included
- Click Accept to confirm the booking, or Reject if you're unable to fulfil it
- If you accept, the client will be notified and payment will be processed
When you accept a booking, a connection is automatically created between you and the client. This allows you to communicate directly within the booking.
Respond to booking requests promptly. Clients are more likely to follow through with providers who reply quickly.
Booking Conversations
Each accepted booking has its own conversation accessible from the booking details page. Use this to communicate with the client about requirements, scheduling, and delivery. Booking conversations are separate from your main Messages inbox, keeping your direct messages and booking communications organised.
Managing Requirements
Some bookings include specific requirements or information from the client. You can view these in the booking details page. If you need additional information, use the booking conversation to communicate with the client.
Delivering the Service
Once the service has been delivered:
- Go to the booking details page
- Upload any deliverables (reports, analysis files, training plans, etc.)
- Mark the booking as complete
File Uploads
You can upload files related to the booking, such as:
- Assessment reports
- Video analysis
- Training programmes
- Session notes
Files are uploaded securely and shared with the client through the platform.
Tips
- Set expectations early by communicating clearly about what the service includes
- Keep clients updated if there are any changes to the scheduled time or delivery
- Upload deliverables promptly after completing the service
- Use the booking details to keep a record of all client interactions
