Managing Events
Once you have created an event, you can manage it from your events dashboard at Profile > Events. This guide covers every tool available for keeping your events up to date.
Your Events Dashboard
The events dashboard lists all your events with their name, status, price, schedule dates, sports, booking progress, and session count. You can search events by keyword and filter by state (Draft, Active, Cancelled, Completed) using the controls at the top.
Each event row shows:
- Thumbnail: The cover image (or a placeholder if none is set)
- Name: The event title, with a lock icon if the event is private
- Booking progress: A progress bar showing how many participants have booked against your capacity limit
- Session count: The number of upcoming sessions
- Schedule dates: A summary of when the event runs
- Sports and disciplines: How many sports and disciplines are tagged, with a hover card showing the full list
- Status badge: Draft, Active, Cancelled, or Completed
- Price: The price in your currency, with "per session" shown for per-session pricing
Event Actions
Click the three-dot menu on any event to access the available actions. The options vary depending on the event's current state.
Preview or View
- Preview: Available for draft events. Opens the event page so you can see how it will look to participants before publishing
- View: Available for active events. Opens the live event page
Edit
Opens the event form in a side panel where you can update any aspect of the event across five steps:
- Details: Name, URL, excerpt, sports, disciplines, age groups, delivery format, age restrictions, active/private toggles
- Event Description: Full rich-text description with images and videos
- Schedule and Pricing Type: Add or edit sessions, choose per-session or flat-rate pricing, set maximum participants
- Price and Discounts: Set your price and configure discount tiers
- Cover Image: Upload or generate a cover image
Use the Next and Previous buttons to move between steps, then click Save on the final step.
Publish
Available for draft events. Publishes the event so participants can find it and register. Before publishing, ensure you have set a title, at least one scheduled session, pricing, and an active Stripe Connect account (for paid events). You can also publish from the event preview page.
Unpublish
To temporarily hide an event, open it for editing and switch the Event Active toggle off. The event returns to an inactive state and is no longer visible to participants. Existing bookings are not affected.
Share
Available for active events. Opens a sharing dialog where you can:
- Copy the link to your clipboard
- Download a QR code to use on printed materials, posters, or business cards
- Share directly to Facebook, X, LinkedIn, WhatsApp, or Email
Duplicate
Creates a draft copy of the event with all details, pricing, sports, and discounts carried over. The schedule and URL slug are cleared so you can set new ones. Bookings and conversations are not copied. This is ideal for recurring events like seasonal camps or monthly workshops.
Bookings
Opens the bookings page for the event where you can see all registered participants. This option is only available when the event has at least one confirmed booking. The badge shows the number of active bookings.
Delete
Permanently removes the event. This cannot be undone. Deletion is only available when the event has no active bookings. For events that might run again, unpublish them instead.
Editing Events with Active Bookings
When an event has confirmed bookings, certain fields are locked to protect existing registrations:
- Schedule: Sessions cannot be added, edited, or removed. A warning banner explains why the schedule is locked
- Pricing type: Cannot be changed between per-session and flat-rate
- Price: Cannot be modified
- Discounts: Cannot be added, edited, or removed
You can still update the event name, description, excerpt, cover image, sports, disciplines, age groups, delivery format, URL slug, privacy setting, and age restrictions at any time.
Event States
Events move through the following states:
- Draft: The event has been created but is not visible to anyone. Use this state to prepare your event before going live
- Active: The event is live and participants can find it in search results and register. Private events are active but only accessible via direct link
- Cancelled: The event has been cancelled. Registered participants are notified
- Completed: All scheduled sessions have passed. The event is no longer bookable but remains visible for reference
Private Events
Toggle Private Event on in the event details to make the event accessible only via its direct link. Private events do not appear in search results. This is useful for invite-only workshops, team-specific training, or events you want to share with a select group.
Custom Event URL
Each event can have a custom URL slug, making it easy to share. For example: pitchgurus.com/event/your-name/summer-camp-2026. The slug is auto-generated from the event name when you first create the event, but you can edit it at any time. The system checks availability in real time and offers suggestions if your chosen slug is taken. See Event URL for more details.
Tips
- Duplicate past events to save time when running recurring workshops or camps
- Use the share dialog to generate a QR code for printed flyers and posters
- Monitor the booking progress bar to see how close you are to capacity
- Keep private events for invite-only sessions and share the link directly with your target audience
- Update event descriptions with any new details or changes as soon as they arise
- If you need to make schedule or pricing changes to an event with bookings, consider duplicating it and cancelling the original
