Creating an Event
Events let you offer workshops, camps, clinics, masterclasses, and other group activities to athletes and clients. Each event listing includes who it's for, a description, sessions, pricing, and a cover image, all the details participants need to register.
Getting Started
- Go to your Profile page and select Events
- Click Create Event
- Complete the six-step form (see sections below)
- Click Save on the final step to save as a draft, or publish when ready
New events are always saved as a draft first. You can publish when you are happy with the listing. Use the Next and Previous buttons to move between steps. If any step has validation errors, the form shows a summary at the top with quick links to the steps that need attention.
Step 1: Details
Event Active
A toggle at the top of step 1 controls whether the event is active. Turn it off to hide the event from your profile and prevent new bookings without deleting the listing.
Name
Choose a clear, descriptive title that appeals to your target audience.
Good examples:
- "Youth Football Skills Camp - Summer 2026"
- "Sports Nutrition Workshop for Endurance Athletes"
- "Goalkeeper Masterclass with Pro Analysis"
Event URL
A URL slug is auto-generated from the event name so your listing has a clean, shareable link, for example pitchgurus.com/event/your-name/summer-camp-2026. You can edit the slug at any time. The system checks availability in real time and offers alternative suggestions if your chosen slug is already taken. See Event URL for more.
Sports
Tag the sports your event covers. Options are drawn from the sport profiles you have created on your account. If you have not created any sport profiles yet, you will see a prompt to create one before you can assign sports to the event.
Coach Disciplines
Select at least one coach discipline that describes the focus of the event. Disciplines are grouped by category, and you can search within the list to find the right ones quickly.
Delivery Option
Choose how the event will be delivered:
- In Person - The event takes place at a physical location
- Remotely - The event is delivered via a video call or online platform
- In Person and/or Remotely - The event can be a mix; each session in step 4 can be set individually as in person or remote
Private Event
Toggle Private Event on to make the event accessible only via its direct link. Private events do not appear in search results. This is useful for invite-only workshops, team training, or events shared with a select group.
Step 2: Who this is for
Age Groups
Select the age groups the event is aimed at. This helps participants and parents filter events by suitability. Leave blank if the event is open to all ages.
Age Restrictions
Set a minimum and/or maximum age if the event is restricted to a specific age range. Participants will be asked for their date of birth during booking so the system can verify eligibility. Leave both fields blank if there are no age restrictions.
Questions for the booker
Choose which questions are asked at checkout. Required questions must be answered before the booking can be confirmed. The list of available questions adapts to the age groups, delivery option, and any published policies on your account, so you only see questions that are relevant.
Step 3: Description
Excerpt
Write a short summary of the event. This text is used for preview cards and search results, so keep it concise and engaging.
Full Description
Use the rich text editor to write a detailed description. You can add headings, paragraphs, images, and videos to bring your listing to life.
A default template is provided with suggested sections:
- About this Event - what participants can expect
- What's Included - what the registration covers
- What to Bring - equipment, kit, or preparation needed
You can adjust or replace these sections to suit your event. A strong description covers what participants will learn, the format and structure (lectures, drills, group sessions), who the event is aimed at, and location or joining details.
Step 4: Schedule
Click Add Session to create a new time slot. Each session includes:
- Title - a label such as "Day 1 - Fundamentals" or "Morning Drills"
- Date - the date the session takes place (must be today or later)
- Time - the start time in 24-hour format (e.g. 09:00, 14:30)
- Duration - select from 30 minutes up to 10 hours. The end time is calculated automatically
- Location - for in-person sessions, search for and select a location using the map. For remote sessions, enter a meeting URL (Zoom, Google Meet, Teams, etc.)
- Notes - optional notes shown to attendees, such as parking instructions, what to wear, or arrival guidance
Add as many sessions as you need. A weekend camp might have three sessions, a single workshop might have just one.
Schedule Overlap Detection
The system checks for clashes with your other events, service bookings, and calendar entries in real time. If an overlap is detected, the details are shown in an alert so you can adjust the timing.

Step 5: Pricing
Once an event has active bookings, the pricing type, capacity, base price, and discounts cannot be changed. This protects existing bookings from unexpected changes.
Pricing Type
Choose how the event is priced:
- Per Session - Participants choose and pay for individual sessions. Ideal for multi-day camps, drop-in workshops, or events where attendees may only attend some days. This option also unlocks multi-day discounts
- Flat Rate - One price covers the entire event and all sessions. Ideal for courses, packages, or events with a fixed schedule
Capacity
Set a capacity limit for the event:
- Per Session pricing: this is the seats per session
- Flat Rate pricing: this is the total event capacity
Leave blank for unlimited.
Base Price
Enter the price in your default currency. Other currencies are auto-calculated using current exchange rates and can be overridden individually if you want to set specific values for other currencies.
If you are registered for tax via Stripe (e.g. VAT, GST, Sales Tax), the applicable tax rate is added on top of your price when a participant books. PitchGurus does not manage or remit tax on your behalf.
Discounts
You can add discount tiers that apply automatically during booking:
- Multi-day discounts (per-session pricing only) - offer a percentage discount when participants book multiple sessions, e.g. 10% off when booking 3 or more sessions
- Multi-participant discounts - offer a percentage discount for group registrations, e.g. 15% off when 3 or more participants are booked together
Each discount tier requires a minimum quantity and a discount percentage. You can add multiple tiers for increasing discounts.

Step 6: Cover Image
Pick something that helps the viewer immediately understand what the event is. The image is displayed in a 3:2 aspect ratio across the platform.
Upload Your Own
Upload a JPEG, PNG, or WebP image up to 10 MB.
Generate with AI
You can generate a professional cover image using AI. This requires the event name, an excerpt, and at least one sport selected. Each generation costs credits (the exact cost is shown on the button). If you are not happy with the result, generate again or upload your own. AI-generated images are marked with an "AI Generated" badge on the listing.
Publishing Your Event
Once all six steps are complete, save the event. It will be stored as a draft until you publish it. To publish:
- Open the event from your events dashboard
- Click Publish from the event actions menu, or open the event preview and publish from there
Before publishing, make sure you have set a name, at least one scheduled session, pricing, a cover image, and an active Stripe Connect account (for paid events).
