If Payment Stops

A payment can fail, a card can expire, a licence can run out. This is what happens, in order, so there are no surprises.

Your organisation

The screens the plan pays for close. Members disappears from the sidebar and its pages stop resolving. Everything else about your organisation carries on: the public page, the services, the events, the bookings already placed and the money owed to you are all untouched.

Your members

Nothing is removed. Your representatives, their roles and your whole roster stay exactly as they are. You severed nobody, so nothing's severed. When payment resumes you find your organisation as you left it rather than rebuilding it.

What they lose in the meantime is access to the screens the plan pays for, which is the same thing you lose.

Your employed coaches

This is the part worth reading twice, because it affects people who did nothing wrong.

A coach on a seat you fund has their Service Provider capability from you. When you stop paying for it, they lose it: their account is moved back down, and their services and events are deactivated so nothing new can be sold through them.

Work already sold is not touched. Existing bookings, tickets and commitments all stand, and nothing is deleted. Deactivating stops new sales and nothing else.

Two things soften it:

  • A coach who also pays for their own plan keeps their capability. It was never yours to withdraw. They lose allocation to your work and nothing else.
  • A coach employed by another organisation that is still paying keeps their capability through that one. Funding is counted across every club someone coaches for, not just yours.

Allocations stay where they are

Coaches already allocated to a booking, or named on an event, stay there. A lapse does not strip your Saturday roster. The event still needs delivering, the attendees have paid, and taking the coaches off it over a failed card helps nobody.

This is the opposite of what happens when you deliberately remove a coach, where the work is handed back immediately. See When a Coach Leaves.

If your organisation is suspended

Suspension is different from a lapse, and stricter. It is an action the Pitch Gurus team takes to stop an organisation operating, so it takes effect at once: your organisation funds nobody from that moment, with no grace window, whatever the billing says.

Members arriving at your organisation see a page telling them it is suspended. Visitors are not told anything about a named club's status.

Putting it right

Update your card under Account > Plans & Billing and resubscribe. Your organisation comes straight back: the Members screen returns, your representatives have their access again, and your whole roster is where you left it, including everybody's roles.

Coaches who were downgraded are the exception. Resubscribing does not currently hand their capability back on its own, because their membership never went away and nothing treats them as newly joined. Get in touch with support and we will reinstate the seats, which takes a couple of minutes at our end.

If a coach does get their capability back, their own services and events still need publishing again. Nothing was deleted and republishing takes a couple of clicks, but we will not put a price back in front of buyers without the seller deciding to.

After a suspension is lifted

Suspension works differently here. Lifting it restores every funded coach automatically, with no need to ask. As above, their own services and events stay unpublished until they choose to put them back on sale.
